Condominium boards face challenges that most other community associations never encounter. Owners share more than amenities; they share walls, roofing systems, plumbing stacks, electrical infrastructure, and major mechanical equipment. One unit’s maintenance problem can affect everyone. Defer a repair decision and watch costs multiply across the entire building.

Most condo boards figure out quickly that they’ve taken on more than anticipated. Building systems need to be maintained, but few board members understand HVAC mechanics or structural engineering. Financial planning has to account for projects that won’t happen for years but need funding now. Rules get enforced among people living stacked vertically in the same structure. The board’s decisions directly affect every owner’s property value.

WRMC has managed condominium associations across Texas and Colorado for over twenty years. Our portfolio ranges from intimate 16-unit luxury buildings to high-rise towers with several hundred units. Managing condos well means understanding how building systems work and age, planning financially for expensive capital projects, and helping boards navigate ownership structures in which mechanical and structural components literally connect every unit.

What Makes Condo Management Different

Condo associations work under different rules than traditional HOAs or townhome communities. Associations typically maintain everything outside individual unit walls: roofs, exterior surfaces, hallways, lobbies, elevators, parking garages, and all major building systems. That creates substantial financial obligations and operational challenges.

Building systems need expertise that volunteer boards rarely possess. Should that aging HVAC get repaired or replaced? How do you compare bids for elevator modernization? What’s involved when contractors say the plumbing risers need work? When several major systems all demand attention, how do you prioritize?

Reserve planning becomes crucial because projects run into six or seven figures. Underfund reserves and you’re facing special assessments that upset owners and potentially harm values. Overfund them, and owners pay assessments higher than necessary. Getting the balance right requires understanding your building’s actual condition plus realistic replacement schedules.

Professional management helps boards handle these connected challenges. It brings building systems knowledge boards don’t have. It establishes financial planning matching capital requirements. It creates fair and consistent enforcement. It provides responsive service and strategic partnership for long-term decisions.

How We Support Condo Boards

Our approach to condominium management centers on three core areas: financial oversight, building and facilities care, and governance support. Each one addresses dynamics specific to shared building ownership.

Comprehensive Financial Management

Condo association budgets cover far more ground than standard HOA budgets. Building maintenance, major systems, elevator service, parking structures, insurance costs running substantially higher than those for single-family properties, common-area utilities, reserves for capital work potentially hitting seven figures; it all adds up fast.

Master-level professionals and CPAs lead our financial management services, managing the full accounting cycle. Board members receive monthly reports they can actually read without CPA training. Budget development is collaborative; we create realistic projections that cover current expenses and future capital projects. Funds remain protected and properly distributed. We handle collections in ways that maintain cash flow without damaging board-resident relationships.

Each association gets a dedicated Property Accountant working with your Community Manager. Our community portal seamlessly integrates with our banking partner so board members can check balances and review transactions whenever they want; no waiting for month-end close or tracking down staff for basic account information.

Condo reserve planning needs particular focus on building systems and structural components. We arrange reserve studies done by engineers who physically inspect your building and estimate replacement costs based on current markets. We help boards develop funding strategies that balance what owners can afford now with capital needs that arrive later. Roof replacement, building envelope repairs, parking structure work, elevator updates, and HVAC system changeouts all need adequate reserves years before projects start.

Building and Facilities Management

Your building represents a major investment requiring proactive care and expert attention. Building systems typically fail without much advance warning. Deferred maintenance in structures where everything connects can escalate into serious problems fast.

Inspections are scheduled according to your building’s type and age. We’re looking for issues while fixing them still costs a reasonable amount of money. Catch roof problems early, and you avoid water damage affecting multiple units; identify HVAC inefficiency now instead of dealing with complete failure during peak cooling season.

Our Preferred Vendor Program underscores our commitment to quality, matching the unique needs of each partner. Vendors working at your property complete a thorough screening first. We verify current licensing, confirm adequate insurance, and contact their previous clients to learn how the jobs actually went. Projects get monitored from approval through verified completion, so work doesn’t stall or get abandoned midway.

For larger buildings or more complex properties, our team brings specialized knowledge in building systems, preventive maintenance, and capital project management. This expertise is particularly valuable in high-rise condominium management, where operations require sophisticated management.

Advanced Personnel Management & Governance Support

Associations with on-site staff face HR challenges on top of everything else. Our Human Resources team takes care of hiring, getting new employees set up, managing compensation and benefits, and handling performance issues. That keeps you compliant with employment law and removes a major headache from the board.

Even communities without dedicated staff benefit from our internal structure. Your Community Manager reports to a Regional Director who works with Senior Directors and our executive team. When complicated situations arise or questions come up that your manager hasn’t encountered, they have experienced professionals to consult. You’re never stuck waiting on one unavailable person.

One of the primary factors in driving large communities to change management companies is when there’s turnover at the General Manager level.

WRMC’s RD’s stay close to their properties and seamlessly assume leadership responsibilities when needed, thus reducing the impact felt by the on-site team, residents, and Board.

What Your Community Manager Does

Your Community Manager connects boards, residents, and vendors while serving as your main operational partner. For condos in particular, this means someone who grasps building systems, communicates effectively with engineers and contractors, and helps boards make informed choices about complex technical matters.

Manager portfolios here stay deliberately smaller than industry norms. That creates bandwidth for the personalized attention condominiums need and lets managers truly know your building instead of just handling crises.

PORTFOLIO CONDOMINIUM MANAGEMENT

Managers show up to board meetings ready to advise on operations, finances, building systems, and compliance. They coordinate vendors and check that work quality meets specs. When owners ask about building issues, upcoming projects, or association rules, managers answer. Board materials get prepared, and records stay current. Managers track compliance with governing documents and state regulations while partnering on longer-term capital planning.

Portfolio condominium management offers an efficient, cost-effective solution for communities that benefit from professional oversight without the need for a full on-site team.  Backed by WRMC’s depth of resources—including accounting, human resources, and executive leadership—you gain responsive service, expert guidance, and consistent management.

DEDICATED ON-SITE MANAGEMENT AND TEAM

For larger or more service-intensive communities, a dedicated on-site management team provides the highest level of service and operational excellence. These teams can include Concierge, Valet, Engineering and Maintenance staff, Housekeeping, a General Manager, and an Assistant General Manager—scaled to fit your community’s unique needs, whether that’s a small team of two or three or a full staff of 40 to 50 employees.

Every on-site team is supported by experienced Regional Directors and WRMC’s Executive Leadership Team, ensuring strategic guidance, operational consistency, and long-term success. From daily resident interactions to complex building systems and staffing oversight, this structure delivers a seamless, elevated living experience while giving boards confidence that every aspect of the community is professionally managed.

Technology Integration

We leverage top-tier technology solutions to empower our clients with data-driven decision-making. Managing condos remains fundamentally about maintaining buildings and serving residents, but technology improves how we operate.

Our community portal provides boards and homeowners with direct access to information. Board members pull financial reports, look up governing documents, and check maintenance status without waiting for emails. Homeowners can pay assessments, submit maintenance requests, and message management through a portal available at any time.

Our AI-powered tool handles frequent questions about building rules, amenity bookings, and account details. It searches your actual governing documents, so answers come back accurate and immediate, leaving our team available for matters needing real judgment.

Our AI-powered tool also handles invoice coding automatically and flags charges that look unusual. WRMC Connect, our mobile app, lets homeowners manage accounts and file requests from anywhere. Available on iPhone and Android.

For high-rise and luxury properties, we integrate with BuildingLink, a platform built specifically for sophisticated residential buildings. This adds capabilities around amenity scheduling, visitor management, package tracking, and staff coordination.

Compliance and Personnel Management

HOA boards operate in a regulated environment that is always changing. State statutes, governing documents, and court decisions create obligations you need to meet if you want to protect your association from legal exposure.

We maintain active involvement with the Community Association Institute (CAI), including board positions on the Texas and Colorado Legislative Action Committees. That gives us early visibility into proposed legislation and lets us advise clients before new requirements take effect.

We review insurance coverage regularly to make sure protection stays adequate. Enforcement guidance ensures your board respects due process requirements. Documents are retained in accordance with applicable legal standards. Vendors get screened through our Preferred Vendor Program before they work on your property. We also train boards on their fiduciary responsibilities, open meeting requirements, and whatever other governance rules apply to your association.

Why Condo Communities Need Real Partnership

WRMC has spent over twenty years building relationships that last. Our client retention numbers reflect what happens when you treat communities as more than just properties to manage. We’ve built our business on a straightforward idea: focus on people first, and strong communities follow naturally.

Managing condos well means understanding building systems and aging patterns. It means financial planning appropriate to major capital work. It means helping boards make sound decisions about complex technical issues. It means responding when building problems surface and partnering strategically on long-term planning.

Our Strengths

We measure success by service quality delivered to each community, not by how many associations we’ve signed. WRMC stands proud as a women-owned business under Andrea Willett, whose hands-on approach drives the company’s vision and operations.

If you’re evaluating management companies for your condo association, you need partners who understand building systems and capital planning, bring genuine technical resources and contractor relationships, and operate with the professionalism and integrity your residents deserve.
